Check Acceptance Best Practices

When accepting checks it is important to make sure all of the important details are present and accurate on the check.  By verifying these details you can minimize time consuming errors and fraud.   See image above for visual examples. 

Name and address preprinted and match that of the check writer

Make sure the name and address are pre-printed on the check from the bank and that they match the identification of the check writer.  Checks that do not have the name pre-printed indicate temporary checks from a new bank account and are prone to fraud as any name can be written.

Phone number is printed or written below name and address

Be sure the phone number is printed or written under the name and address. If not, have them write it on the check at the the time of issuance. This will insure you have a way to contact them in case of an issue and provides another way to verify their identification.

Number values and written value must match

The dollar amount of the check must be written both numerically and spelled out in words.  Both must be identical amounts. If they do not match the bank may not accept it and it could delay the payment. 

Check Signature must match the I.D. of the signer

Verify that the signature on the check matches that of the check writers identification.  This is a traditional identification process to insure that the check writer is in fact the same person printed on the check and who’s signature is on the I.D.
